Superyacht Safety Systems respects the confidentiality of yacht, crew, owner, guest, and management information. This notice explains how personal information is collected and used when someone contacts the business, requests a sample pack, downloads a checklist, asks for a proposal, or works with Superyacht Safety Systems on a project.

Information collected

Superyacht Safety Systems collects only the information reasonably needed to respond to enquiries, prepare proposals, deliver agreed documentation work, keep records, and protect client confidentiality.

• Phone or preferred contact method, if provided
• Role (e.g. captain, manager, owner representative, crew)
• Yacht size, operation type, and package interest
• Information provided in enquiry forms, emails, calls, or project documents
• Client source materials shared for an agreed project (manuals, SOPs, records, layouts, references)
• Basic business, payment, invoice, and accounting information
• Website and form metadata needed for security, spam prevention, and form delivery

Please do not send unnecessary personal, owner, guest, crew, medical, security, or location-sensitive information unless it is genuinely needed for the agreed project.

How information is used

• Respond to enquiries and sample-pack requests
• Arrange consultations and follow-up messages
• Prepare proposals, quotes, Statements of Work, and invoices
• Deliver agreed documentation work
• Review source documents supplied for a project
• Keep project, approval, accounting, tax, and legal records
• Maintain confidentiality, security, quality control, and version history
• Improve services, website content, and client onboarding

Superyacht Safety Systems does not sell personal information.

Lawful basis

Depending on the situation, information is processed because it is necessary to take steps before entering into a contract or to perform a contract, for legitimate business interests, to comply with legal obligations, or because consent has been given where required. Where legitimate interests are relied on, those interests are balanced against the rights and expectations of the individuals concerned.

Sharing information

Information is shared only where needed for the purposes above. This may include:

• Website hosting and form-handling providers
• Email and cloud storage providers
• Accounting and payment providers
• Professional advisers (accountants, insurers, legal advisers)
• Approved subcontractors/collaborators where needed for an agreed project
• Authorities/insurers/courts where legally required or needed to protect legal rights

Client-specific yacht documents and vessel-sensitive material are treated as confidential and are not reused in samples or disclosed publicly without written permission.

Current service providers include Netlify (website hosting and forms), Google Workspace (email), Google Drive and local device storage (project files), and Revolut Pro / Revolut invoices once approved (payment and invoicing). A local or Codex-managed spreadsheet may also be used for project and invoice tracking.

International transfers

Some service providers may store or process information outside the UK. Where this happens, Superyacht Safety Systems uses reasonable steps intended to ensure appropriate protection, such as using reputable providers and relying on appropriate transfer safeguards where required.

Retention

Information is kept only for as long as reasonably needed for the purpose it was collected, including project delivery, legal, accounting, tax, insurance, dispute, and legitimate business record purposes. Indicative periods:

• Enquiry information not becoming a project: 24 months
• Consultation notes not becoming a project: 24 months
• Client project files and approvals: 6 years after project completion
• Invoices, accounting, and tax records: 6 years or the period required by law
• Marketing consent records: until consent is withdrawn or no longer needed

Security

Superyacht Safety Systems uses practical safeguards intended to protect information, including controlled project folders, access limits, two-factor authentication where available, and data minimisation. No email, website, or cloud system can be guaranteed completely secure, so highly sensitive materials should be shared by an agreed secure method.

Individual rights

Individuals may have rights under UK data protection law, including access, correction, deletion requests, restriction/objection in some circumstances, portability in some circumstances, withdrawal of consent where applicable, and the right to complain to the UK Information Commissioner's Office.

Marketing

Superyacht Safety Systems may send relevant business updates, sample materials, or follow-up messages where permitted by law. Recipients can opt out at any time by replying with an unsubscribe request or using any unsubscribe link provided.

No analytics tools, advertising cookies, or marketing-cookie tools are currently in use. If analytics or marketing cookies are added later, this notice and the website cookie position should be updated before those tools are enabled.
